Protection of Personal Information

Honshu Chemical Industry Co., Ltd. (hereinafter referred to as “HCI”) is committed to protecting personal information and specific personal information (hereinafter collectively referred to as “personal information”) acquired and handled during the course of its business operations, upon recognition that the protection of such personal information is an important corporate duty and social responsibility.

To this end, HCI implements the following rules to protect such personal information:

1.Compliance with Laws and Regulations

HCI strongly recognizes that compliance with laws and regulations and other rules is a fundamental premise in corporate sustainability. HCI shall comply with laws and regulations, guidelines and HCI’s Company Rules related to the protection of personal information. HCI shall work with each of the member companies of the HCI Group to ensure Group-wide responses that live up to its corporate recognition and commitment.

2.Acquisition of Personal Information

HCI shall clearly define the purposes of using personal information and acquire such information by legitimate and fair means.

3.Use of Personal Information

HCI shall not use any personal information beyond the range of the purposes of use defined herein without obtaining consent from individuals concerned, except permitted by law.

4.Provision of Personal Information to Third Parties

HCI shall not either provide or disclose personal information to third parties without obtaining consent from individuals concerned, except permitted by law.

5.Security Management of Personal Information

HCI shall establish its Company Rules regarding protection of personal information and appoint personal information protection administrators to promote a variety of programs including but not limited to having a management system in place to protect personal information at HCI. In order to prevent any leakage, loss, damage, unauthorized access of personal information, HCI shall comply with the Company Rules to endeavor necessary and appropriate security management of personal information, while conducting regular audits.

HCI shall provide education for its management, employees and other stakeholders to ensure that they will handle personal information appropriately.

6.Inquiries and Requests for Disclosure or Correction of Personal Information

HCI shall forthwith respond to inquiries or requests for disclosure or correction from individuals, of personal information acquired and retained by HCI.

7.Continuous Improvement in Efforts for Protection of Personal Information

HCI shall review and improve its aforementioned efforts for protecting personal information in a continuous manner.

Purposes of Use of Personal Information, etc.

1.Purposes of Use of Personal Information

HCI shall use personal information within the scope necessary for achieving the following purposes of use thereof in carrying out its corporate activities:

* Provide products and services HCI has to offer
* Provide and propose information about products and services HCI has to offer
* Conduct surveys, etc. concerning planning, development and use of products and services HCI has to offer
* Execute rights or perform obligations under laws and regulations and/or agreements
* Contact customers, clients, shareholders and other stakeholders of HCI for communication and inquiries
* Respond to inquiries or requests from customers and others.
* Provide information about events hosted by HCI and other matters
* Manage shareholders
* Conduct recruiting activities and
* Other activities to ensure smooth business operations at HCI.

2.Purposes of Use of Specific Personal Information

HCI shall use an individual’s personal identification number (defined in the Act on the Use of Numbers to Identify a Specific Individual in Administrative Procedures) only to take office procedures for the following matters:

* Administrative work to be done by the employer or payer to withhold taxes from the employee’s income under the Income Tax Act;
* Administrative work to be done by the employer or payer to withhold taxes from the employee's income under the Inheritance Tax Act;
* Development and provision of statutory documents, etc. by the employer to report interest income, earned by the employee, on financial product transactions under the workers' property accumulation savings system;
* Development of statutory documents, etc., by the chairpersons or administrative offices of the employee stock ownership association, the extended employee stock ownership association, the board of director stock ownership association or the client stock ownership association, to which the employee is a member, to report dividend income, etc. earned by the employee on financial product transactions;
* Administrative work to be done by the employer or payer on inhabitant tax under the Local Tax Act;
* Administrative work to be done by the employer on social insurance under the Health Insurance Act;
* Administrative Work to be done by the employer on pension under the Welfare Pension Insurance Act;
* Administrative Work to withhold tax from corporate pension benefits payable to employees and to file an application for them to receive said benefits;
* Administrative Work to be done by the employer on labor insurance under the Employment Insurance Act;
* Administrative Work to be done by the employer on long-term care insurance under the Long-Term Care Insurance Act; or
* Administrative Work involving filling the employee’s personal identification number in documents incidental to processing any of the items above and all other works derived from any of the work above.

If you have an inquiry about personal information possessed by HCI, a request for disclosure, etc. of the same (including but not limited to use purpose notification, correction, addition, deletion, discontinued use, removal or discontinued provision of such information to third parties), a complaint, etc. about handling personal information, you should write it to the following contact by postal mail.
